Associates were spending Friday afternoons on admin. Billing events were slipping through.

Proxima Legal received hundreds of documents a week across email, client portals, and scanned post. Every document needed to be opened, identified, filed in the right matter folder, and, if it triggered a billable event, entered into the practice management system. The admin team handled it manually. Billing entries were missed, documents landed in the wrong matters, and associates had no visibility until they went looking.

n8n workflow uses an LLM classification step to identify document type and extract matter reference, client name, and urgency from the content, no human sorting required.

Classified documents filed automatically into the correct matter folder in the DMS and the responsible associate notified via Teams with a context summary.

Key events, signed agreements, court submissions, milestone completions, detected and a draft billing entry created in the practice management system automatically.

Exceptions escalated with context

Low-confidence classifications and unrecognised document types routed to the admin team with the extracted content and suggested classification attached.
